Refund & Cancellation Policy

Everything you need to know about cancelling your subscription, how billing works at the end of a period, when refunds apply, and how to contact us for billing support.

Plain language summary: All paid plans include a 14-day free trial — no credit card required. If you cancel, you keep access until the end of your billing period. Subscription fees are non-refundable after a billing cycle has been charged. Cloud Wallet credits are non-refundable once used. If CloudAIPilot itself caused a significant outage, contact us and we'll assess a service credit or pro-rated refund on a case-by-case basis.

1. Free Trial

Every paid CloudAIPilot plan — Solo, Studio, Agency, and Enterprise — includes a 14-day free trial. No credit card is required to start. You get full access to all features of the plan you selected during the trial period.

If you do not add a payment method before the trial ends, your account is automatically downgraded to the Free plan. No charge is made and no action is required on your part. Your servers, sites, and apps remain connected; features beyond the Free plan's limits become inaccessible until you subscribe.

If you add a payment method and choose to subscribe during or at the end of the trial, billing begins from the date of your first payment. The trial period is not deducted from your first paid month.

No surprises: We will never charge you without your explicit action — you must actively confirm a plan and enter payment details. Trial expiry does not automatically trigger a charge.

2. Cancellation

2.1 How to Cancel

You can cancel your subscription at any time from within your CloudAIPilot account. Navigate to Settings → Billing & Subscription and select "Cancel subscription." Cancellation takes effect immediately in the sense that no future renewal charge is scheduled, but your access continues until the end of the current billing period.

2.2 What Happens After Cancellation

When you cancel a paid plan:

  • Your subscription remains active and all paid features remain accessible until the last day of the billing period you have already paid for.
  • On the renewal date, your account is downgraded to the Free plan automatically.
  • Your data — servers, sites, apps, backups, and organization settings — is retained for at least 90 days after the downgrade. You can resubscribe at any time within this window without losing anything.
  • After 90 days on the Free plan with no reactivation, inactive resources may be subject to our data retention policy described in our Privacy Policy.

2.3 Cancellation Confirmation

You will receive a confirmation email when your cancellation is processed. This email will state the date your paid access ends. If you do not receive a confirmation within a few minutes of cancelling, contact us at info@cloudaipilot.com before the next renewal date to confirm the cancellation was recorded.

3. Subscription Refunds

3.1 General Policy

CloudAIPilot subscription fees are billed in advance for each billing cycle (monthly or annual). Fees already charged for a billing cycle are generally non-refundable, including in cases where you:

  • Cancel part-way through a billing period
  • Downgrade to a lower plan mid-cycle
  • Do not use the platform during the period
  • Decide the service is not the right fit after a paid charge

This is consistent with industry-standard SaaS billing practices and with our Terms of Service, which you accepted when subscribing.

3.2 Why We Have This Policy

Every paid plan includes a full 14-day free trial specifically so you can evaluate the platform thoroughly before committing. We encourage you to test CloudAIPilot against your real infrastructure during the trial period. Because the trial gives you complete access risk-free, we are unable to offer post-payment refunds as a matter of routine.

3.3 Monthly vs. Annual

Regardless of whether you are on a monthly or annual billing cycle, once a charge has been processed, it is non-refundable under the general policy. Specific exceptions for annual plans are described in Section 6.

4. Cloud Wallet Credits

Certain features — including AI Pilot token consumption, SMS alert notifications, and WhatsApp notifications — are charged on a metered basis against your Cloud Wallet.

Important: Cloud Wallet top-up credits are non-refundable once purchased, regardless of whether they have been consumed. Please purchase top-ups only in amounts you expect to use. Monthly credits included in your plan are not refundable if unused at the end of a cycle.

If credits were consumed due to a confirmed platform error on CloudAIPilot's part — for example, a bug that caused runaway AI token usage — please contact us. We will investigate and credit your wallet for the affected amount if the cause is verified as our error.

5. Plan Changes (Upgrades & Downgrades)

5.1 Upgrading

When you upgrade to a higher plan, the change takes effect immediately. You are charged a pro-rated amount for the remainder of your current billing cycle, based on the price difference between your old and new plan. Your next full billing cycle will be charged at the new plan rate.

5.2 Downgrading

When you downgrade to a lower plan, the change takes effect at the end of your current billing cycle. You retain full access to your current plan's features until the billing cycle ends. No partial refund is issued for unused days on the higher plan.

6. Annual Plans

Annual subscriptions are billed once per year at a discounted rate. By purchasing an annual plan, you commit to a 12-month subscription term.

6.1 Cancellation of Annual Plans

You may cancel an annual plan at any time from your account settings. Cancellation prevents the plan from auto-renewing at the end of the 12-month term. You retain access to all annual plan features for the remainder of the year you have paid for. No partial refund is issued for unused months in an annual term under the general policy.

6.2 Exceptions for Annual Plans

We may, at our sole discretion, consider a partial refund for the unused portion of an annual plan in the following exceptional circumstances:

  • You subscribed within the last 7 days and have not provisioned any servers or performed significant usage
  • CloudAIPilot discontinues a feature that was a primary reason for your annual purchase and no comparable replacement is offered
  • A verified platform outage caused substantial service unavailability (see Section 7)

Refund requests for annual plans must be submitted within 30 days of the triggering event. Requests submitted after 30 days will not be considered.

7. Service Credits & Exceptional Circumstances

CloudAIPilot is committed to platform reliability. If a service disruption is caused entirely by CloudAIPilot's infrastructure and results in a significant period of complete inability to use the platform, we may, at our discretion, offer one of the following remedies:

  • Service credit: Credits added to your Cloud Wallet to offset the value of the downtime period, calculated proportionally to the affected subscription period.
  • Pro-rated subscription refund: A partial refund of your subscription fee proportional to the verified outage duration, applied to your payment method.

To be eligible for a service credit or exception-based refund, all of the following must apply:

  • The disruption was caused solely by CloudAIPilot's platform, not by your cloud provider, your servers, network issues outside our control, or scheduled maintenance communicated in advance
  • The disruption resulted in total inability to use the service (degraded performance does not qualify)
  • You submit a request within 14 days of the incident, referencing the relevant dates and times

We do not guarantee uptime under an SLA for standard plans. Enterprise plan customers may negotiate SLA terms at the time of contract.

8. Disputes & Chargebacks

We encourage you to contact us before initiating a chargeback or payment dispute with your bank or card issuer. Most issues can be resolved quickly by emailing info@cloudaipilot.com with your account email and a description of the concern.

Initiating an unjustified chargeback — one that does not reflect a genuine billing error — may result in suspension of your CloudAIPilot account pending resolution. Accounts suspended for chargeback disputes will not have access to their data until the dispute is resolved.

If your card was charged without your knowledge (e.g., due to unauthorized access to your account), please contact us immediately at info@cloudaipilot.com so we can investigate, suspend the affected account, and assist with recovery.

9. How to Request a Refund

If you believe you qualify for a refund under this policy, follow these steps:

  1. Check eligibility. Review the sections above to confirm your situation falls within a refundable scenario (service credit exception, annual plan early cancellation within 7 days, or a CloudAIPilot-caused outage).
  2. Email our billing team at info@cloudaipilot.com with the subject line: "Refund Request — [Your Account Email]"
  3. Include:
    • The email address associated with your account
    • The date(s) of the charge(s) in question
    • The amount charged
    • A brief explanation of why you believe a refund applies
  4. Wait for a response. We aim to respond to all billing queries within 5 business days. If approved, refunds are processed to your original payment method and typically appear within 5–10 business days depending on your bank.

Tip: If you are unsure whether your situation qualifies, email us anyway. We review each case individually and are happy to explain why a charge occurred or confirm whether a refund is possible.

This Refund & Cancellation Policy is governed by the laws of India and is subject to the CloudAIPilot Terms of Service. In the event of any conflict between this policy and the Terms of Service, the Terms of Service prevail.

Legal notice: This policy has been prepared in accordance with the Consumer Protection Act, 2019 (India) and applicable SaaS billing practices. Nothing in this policy limits your statutory rights under applicable consumer protection law.
